How to audit a business process before outsourcing

Observe real work from trigger to completion

Follow recent examples and record every step, wait, handoff, decision, system and correction. Compare the documented process with what people actually do during normal and busy periods.

Separate value, control and waste

Identify steps that create the required outcome, steps that provide necessary control and steps that exist only because of unclear ownership, duplicate entry or historic workarounds.

  • Volume and arrival pattern
  • Processing and waiting time
  • Handoffs and approval delays
  • Error and rework points
  • Known exceptions and risk controls

Improve the boundary before transfer

Remove obvious duplication, define decision rights and agree the source system before outsourcing. Do not transfer a broken workaround simply because it is familiar.

The audit should produce a scoped process, baseline measures, procedure backlog, access list and pilot recommendation. These outputs make provider comparison and transition more reliable.
