Profile the data before changing it
Measure missing fields, duplicate patterns, invalid formats, inactive records and inconsistent values. Agree which fields matter to sales, service, billing and reporting before the cleanup begins.
Create rules for every change type
Define how duplicates are identified, which record survives, how conflicting values are resolved and when a case must be reviewed manually. Take an appropriate backup or export before bulk changes.
- Standard names, addresses and phone formats
- Duplicate matching and merge rules
- Validation against approved sources
- Reason codes for deletion or suppression
- Exception log for ambiguous records
Prevent the database becoming dirty again
Improve required fields, dropdown values, validation, integration mapping and user guidance. Assign ownership for regular duplicate and completeness checks.
