Create one controlled intake route
Direct supplier invoices to an approved inbox or system. Record receipt date, supplier, invoice number, amount, due date and related purchase or engagement reference so nothing depends on a person's private mailbox.
Validate before seeking approval
Check for duplicates, required supplier details, arithmetic, tax fields where relevant, purchase evidence and agreement with the expected goods or services. Raise discrepancies instead of altering source information without authority.

Separate preparation from payment authority
