Prepare the process package
Collect the current procedure, templates, sample inputs and outputs, known exceptions, volume history, priority rules, reporting definitions and contact list. Mark any information that is outdated or still awaiting confirmation.
Train with real examples
Demonstrate normal work, difficult cases and common mistakes. Then ask the receiving team to perform examples while the current owner observes. Training is complete only when the team can explain why each step is taken.
- Access tested before live work
- Decision limits confirmed
- Quality checks demonstrated
- Escalation response times agreed
- Pilot volume and success criteria recorded
Keep ownership visible after handover
The client should retain a named process owner and respond to exceptions during the pilot. The provider should own daily delivery, issue logging and agreed reporting.
Use the first weeks to update documentation. A handover is successful when knowledge has moved into a repeatable system, not when one training call has finished.
